AN EVENT PLANNING CHECK LIST FOR  YOUR TRADE SHOW STAND

Exhibiting is one of the most effective and rewarding actives your brand can undertake. The opportunity to further develop relationships with existing customers and engage with potential new leads is unparalleled.

Event  planning can be a complicated and time consuming process, forward planning can go a long way to minimizing stress and ensure the full potential of your event is realized. Here’s our checklist developed from over 15 years creating unique tradeshow stands and events:

 

1. DEFINE YOUR OBJECTIVE

 By having a clear set of goals and being specific about your outcomes subsequent decisions and event planning is made easier.

What is your desired outcome / core purpose?

  1. To increase brand awareness?
  2. Define the measurement for success or your KPI’s of the project i.e number of leads?
  3. Introduce a certain number of new people to your product or service?
  4. Number of meetings (with measurable outcomes or a clearly defined set of actionable goals)
  5. Launch a new product or service?
  6. Reposition the business or a product?
  7. Generate leads?

Define the measurement for success?

  • What are your KPI’s? Is it cost per lead, number of meetings, number of on-stand purchases?
  • Who is your target audience? – be specific to attendees of this show?
  • What will the take home message be for visitors?
  • How does this event fit in with your overarching marketing and sales strategy?

Event organizers require a significant amount of detail.  It’s important to provide them with any information they may have requested well ahead of time.

Organizer checklist

  1. Book your stand space
  2. Choose space-only or a booth package
  3. Request a floor plan and negotiate your preferred position, and wall configuration
  4. Pay organizer fees
  5. Reconfirm your stand orientation and position within the show – this can change without notice
  6. Exhibitor manual received, read carefully
  7. Exhibitor forms completed
  8. Meeting rooms booked if needed
  9. Guest badges/VIP list confirmed

 

4. GATHER YOUR TEAM

Without dynamic, well-trained trade show staffing, all your event planning, eye-catching exhibit, and appealing giveaways can be worthless.

Team checklist

  1. Create your team for manning the stand, allow 1 per 3 x 3m of space
  2. Do any team members shine in this setting?
  3. Create rules for staff conduct and scripts for approaching visitors
  4. Ensure a staff are briefed on the core objective for exhibiting
  5. Put together an info pack for staff containing key information & roster
  6. Conduct a daily huddle at the start of each show day to track progress and raise any issues.

5. CREATE YOUR STAND

By creating a great looking and positive environment where your team and prospects can meet face to face, brands have the opportunity to present themselves in the very best light.

Remember your core purpose of exhibiting?

  • Ensure your take home message is reflected in the design, layout and over all presentation of the stand itself

Develop a design brief for your stand, consider:

  1. Have you exhibited before – what did and didn’t work in the past?
  2. Approached from different angles how should the stand show off your key products and services
  3. How will flow of foot traffic effect the overall layout and staff movement
  4. How will staff handle and record their interactions with visitors?
  5. Consider practical elements required on the stand, furniture, storage, room for literature and product display plus small things like bag hooks and rubbish bins.
  6. If you’re displaying product confirm dimensions, weight and power requirements
  7. Confirm a schedule of works and key dates with BrandScapes

How will you measure the success of activity on the stand:

  1. Consider how you will count the number of leads, meeting, enquires etc.
  2. How will you collect and manage this data?

 

6. IT’S A WRAP

Conduct post-show evaluation as soon as possible:

 

When the last lead has left the stand, ties are loosened and the exhibition crews appear as if from nowhere,

it’s important to remember it’s not over till it’s over.

 

Gathering comments and feedback, evaluate the following:

  1. Were set objectives met?
  2. Was the budget met, what was the final cost
  3. Define your ROI (cost per visitors, lead, meeting etc.)
  4. Show selection, attendance, type of visitor
  5. Pre Show Marketing – was this effective
  6. Your stand location within the show
  7. Stand design and construction
  8. Performance of staff
  9. Your overall brand presence and appearance
  10. Keep on marketing
  11. Review your event planning, what needs to be worked on?

The marketing doesn’t stop here, to ensure you leverage your involvement consider:

Have all leads been added to your CRM to be fostered?

  1. Send personalized post event follow up with leads
  2. Social media posts
  3. You tube videos highlighting the event
  4. Share highlights of you event with your existing customers, some may have missed the event

Tips to MAXIMISE your EXPO SPACE

The hardest part of planning your expo stand is fitting all your messages and products into a small space….. and it not looking like a dogs breakfeast!

It’s important to deliver a clear take home message for potential customers and avoid visual clutter.

This is the approach we took in planning a recent BOSCH event:

+ Organise and categorise the space into zones
+ Make display areas multi purpose –the tower tops were for clear branding, middle sections for specific messages and lower areas dedicated to physical product.
+ We didn’t try and cram everything into the space, we actually removed items originally in the brief.

Your Brand on TV – Set design and construction

Here’s a set we designed and built for Gaggenau as seen on THE BLOCK reality TV show. We crafted this set from rustic timber from a wreckers yard and lazer cut 3D metallic logo complete with custom joinery. A space for their team to workshop ideas, grow their customer relation skills and develop strategies.
A mobile plywood pod features interactive displays, designed to immerse the visitor in the experience of a Telstra customer.
The rest of the showroom had the usual BrandScapes treatment, complete with bright carpet, eclectic furniture and dynamic signage.

THE PERFECT SMALL EXPO KIT, maximum impact with minimal pack down size and set up time required.

Here’s what you need to create your kit:

Event Logistics – Avoid the pitfalls

Avoid a disaster when planning your event, don’t forget about
LOGISTICS + TRANSPORT

I know its not the most exciting aspect of your event plan!  But think of it as the glue that holds everything together, Or.. the back bone of your event.
You see something as simple as lost piece of freight or restricted venue access can have dire flow-on effects for your event.  Picture your hero product unable to be launched cos is stuck in transit. It does happen!

Here’s a few tips for you….
+ Remember to set clear deadlines for shipping all collateral, and allow time to deal with the unforeseen.

+ Make sure you take photos of all freight, record con-note numbers and label properly (remove those old labels too)

+ You need to consider what’s going happen to your display items post event, what about storage, disposal or on-forwarding to your next event, who will handle all this and what are the costs?

+ If you’re investing in new display gear, it’s vital to factor in in the production of sturdy transport crates. Sure it might be an extra, un-thought of cost.. but it will save you long term in repair costs.

+ Find out if your venue will receive delivery of your items in advance, is there a forklift? Do they have any restrictions?
These venue issues vary widely depending on type of venue and each have their own challenges and cost implications.

+ Its important the event team you contract is equipped + experienced to support you on this font…..

  • Can they handle large bulky items?
  • Can they store your display post event?
  • Can they receive your material in advance + transport to site?
  • Do they have the appropriate vehicles + freight suppliers

These are all great questions for you to ask.

Canada Aids Exhibition Display

Brandscapes had the honour of working with Canada’s leading National Aids Organisation at the 20th International Aids Conference held in Melbourne. Being the largest medical conference ever held in Australia, it attracted over 25,000 international delegates and 2,500 international journalists to our great city. What a great achievement it was for the Brandscapes team to be involved with such a reputable Canadian Aids Organisation. The conference was a success and raised major issues facing the global response to HIV.

Brandscapes had a blast working with Canada Aids and looks forward to working with many more International organisations!

My Home Connect Retail Pop Up Kiosk

We custom designed and crafted these unique kiosks for My Home Connect, a leading Australian home security & Innovation Company. With an intricate curved design, the kiosk will feature in Westfield shopping centres across Australia. The Brandscapes team worked until the early hours of the morning to install their first kiosk at Westfield Fountain Gate in Narre Warren. This was the first to be rolled out amongst many more so keep an eye out when you visit a Westfield shopping centre anywhere in Australia.

Barilla came to us with an area that was begging for some attention. In a highly competitive area of the store, we’ve helped them dominate the area with strong branding. Using large scale graphics will help your brand make an impact in a company showroom or custom exhibition stand!

BOC at AIMEX

BOC’s custom designed stand at AIMEX was a huge success for all! The large-scale, bright, custom stand had live demo’s on-site and incorporated BOC’s portable outdoor display.

Vans & Dr.Martens at Splendour!

Check out our large scale walls for Vans & Dr. Martens. at Splendour in the Grass.  We can “brand up” anything you have. These will be set up inside converted shipping containers. They are freestanding walls that assemble easily with overhead lighting.
